Most clinics do not lack an HR policy. They lack a single place where the policy actually runs.

Attendance lives in a sheet. Leave lives in a WhatsApp group. Contracts live in a drawer. Payroll lives in another file that nobody trusts on Friday. When those four disagree, the owner pays the difference.

Staff files that match how the clinic actually works

Every employee now has a number, Arabic and English names, joining date, work pattern, employment status, and a direct manager. Status changes are history, not folklore: who changed what, and when. The staff list and Excel import carry the new fields, so you are not maintaining a parallel “real” sheet.

Contracts with a visible chain

A contract can be created, edited, and renewed. Expiry and probation are tracked. The list shows the renewal chain, so today’s paper is not floating without last year’s. Alerts fire when a contract is about to expire — the same “expiring soon” area on the HR dashboard also covers medical insurance.

Attendance that knows the shift

Shifts can default per section, pair with a Ramadan variant, and take calendar exceptions. The employee schedule tab shows today’s shift, assignment history, and exceptions. Attendance is not a traffic-light colour: it shows the scheduled shift plus late, early-leave, and overtime minutes.

Short permissions, not silent gaps

Staff can request استئذان. Managers or HR approve, reject, or cancel. An approved permission writes back to attendance, including days already punched. The system refuses self-approval, overlapping requests, and approval into a closed payroll period.

Leave with the maths before the click

Before submit, the request shows days, balance before and after, and estimated salary impact. Attachments are allowed. Overlap is blocked. The approval queue is scoped to the manager’s team. The employee record keeps a leave timeline, and the balance card shows carry-over.

Deductions and cases that wait for a decision

The deductions ledger is clinic-wide and per employee, with live amount preview. Approval posts to payroll; cancel needs a reason. Disciplinary cases follow report → review → approve → close or cancel. A financial penalty becomes a payroll deduction only when the case is approved. Appeals can reverse it unless that month is already paid.

Who can see salary

Salary, deductions, and penalties are permission-gated. Managers can be limited to direct reports. Paid or closed payroll items are not freely deleted. HR inbox and audit screens cover approvals and sensitive actions. Uploads are type- and size-limited, and private.

Biometric punches, KPIs, tax and social insurance on the payslip, vacation rollover, onboarding checklists, and salary advances were already built. They are now reachable from the HR menu.
