Inventory

The lot that expires first is the one that leaves

Sales and visits take from the box that expires soonest. Expiry and low-stock messages actually arrive. Count each lot. A transfer ships, then the other warehouse receives.

The August drop was sizes and colours with their own stock. This drop is the warehouse you can trust. Lots count down. Alerts arrive. A count matches the shelf.

If you never type a lot number, and never pick a unit, the numbers stay the ones you already know.

Lots that actually go down

When you receive stock, you can type a lot number and an expiry date. You do not have to. A clinic that never tracks lots keeps working as before.

When a session finishes, or a sale is paid, the system takes from the lot that expires first. The expiry list is what is still on the shelf — not what you received last month and already used.

Open a product in a warehouse to see each lot, how many are left, and the nearest expiry.

Alerts that reach someone

Expiry is not only a card you remember to open.

A daily message lists lots that already expired and lots that will expire soon. You choose how many days before expiry to warn. The same numbers sit on Stock expiry, with Write off when a lot is finished.

Low stock now fires when quantity actually drops — a session, a sale, a transfer out — not when someone adds boxes. WhatsApp and the in-app notice use the same moment.

Receive, issue, or correct

On a warehouse row, pick what you are doing:

  • Receive — stock in. Lot and expiry are there, not hidden. The unit sits next to the number, so “10” is boxes or pieces, not a guess.
  • Issue out — stock out, with a reason (expired, damaged, lost, and the rest). The soonest lot is picked for you; you can change it.
  • Correct — fix a number, with a note.

A posted movement is not deleted. You reverse it, and both rows stay in the history.

Receive three boxes of a 10-piece box, and the warehouse shows thirty. Units come with a starter list. Open Units of measure if the clinic needs its own.

Count each lot

Stock counts is a sheet per warehouse. Each line is a lot, not only a product name. The system number is today’s, not the day you opened the sheet. A Blind count hides that number until you type yours.

Review the differences, then Apply to stock. Missing or extra stock is a real movement with a reason — it does not vanish.

Ship, then receive

A transfer no longer lands in the other warehouse the moment you approve it.

Approve ships it. The destination uses Receive transfer. The same lot number, expiry, and cost arrive. If boxes are missing on the way, you record a shortage with a reason.

The other branch can be told when a transfer is on the road.

Reports

Inventory reports sits in the products menu: stock value, movement, slow stock, what each service used, and a warehouse-to-warehouse view. The quantity filter on a warehouse list is the whole warehouse, not only the page you are looking at.

Only people allowed to manage stock can add or take stock.

Buying with a supplier order, and a fast till, are not in this drop.
